1) Privacy: AZ PCA member email addresses will never be viewable, distributed in group emails or given to anyone inside or outside of the club.
2) Automatic Signup: If a member gives their email address to the Membership Chair, that address will automatically be included in the general AZ PCA group email list. More than one email address can be registered for getting emails (more than one email address in a family). These will take on average 24-48 hours to process. Additional information may be requested in order to confirm that the person is in the master AZ PCA database.
3) Removing and Adding Addresses: Any current member of AZ PCA can ask to be included (subscribed) in the group email, or can request to be removed (unsubscribed) from the group email, this done automatically via the email home web page.
4) Additional group mail lists: Additional special interest email lists will be made available for those that want to sign up for them (ie: drivers email, goodiestore email, social email) via the web.
5) Frequency: Club emails will be kept to a minimum (goal is one per mid month) or if something changes suddenly, we will send a quick "change of plans" email. This is meant to be a low traffic list.
6) Integrity of Database: Responsibility of the maintenance of the master email addresses will belong to the Membership Chair (since they keep the master database of all member information).
7) Moderators: The email addresses for each email group will be maintained by that group’s Moderator, and exchange of new email addresses will occur at least monthly between the moderators and the Membership Chair.
8) Using a group email service: AZ PCA will use the free group email service provided by Yahoo! Groups. Their privacy policy is at http://privacy.yahoo.com/. You do not need a Yahoo ID or Password unless you want to view the Yahoo AZPCA page for past emails.
9) Automatic system: “Unsubscribe” and “subscribe” features will be automatic via the email server (Yahoo Groups sends an automatic email to the Moderator who must process this request).
10) Removal from list: Every email will contain information at the top or bottom on how a person can unsubscribe. This should be processed in near-real time. The moderator will get notified of this request.
11) Look of email: A standardized HTML format will be used for all emails. Emails will be brief; less than a screen size if possible and viewable even if addressee cannot process HTML (text only). References to additional details via a web page or email address will be given.
12) Posting of messages: Anyone in the general email list can post a message to the group email for consideration by emailing the moderator at: AZPCAMembers-owner@yahoogroups.com. No one will be able to post a message to the whole group without first receiving approval.
